PRESIDENT
 
  1. Chairs the weekly SBPS Executive Board Meetings and General Body Meetings

  2. Oversees the completion of duties by each Executive Board member

  3. Prepares and outlines weekly general body meetings

  4. Works with the Treasurer on budget oversight

  5. Actively seeks ways to better integrate pre-med students with campus faculty, physicians, departments at the hospital, and other medical organizations

  6. Chairs the planning committee of the Annual Medical School Fair in partnership with the Career Center and the Academic and Pre-Professional Advising Center

  7. Serves as liaison to the campus community and advocates for the needs of the pre-med population at SBU

  8. Actively seeks opportunities to work with other campus organizations and groups for collaborative programming, in collaboration with the Vice President

  9. Facilitates the selection process of the incoming Executive Board members for the following year

  10. Oversees the amendment and revision of the Constitution, in collaboration with the Vice President and Secretary

  11. Attends all mandatory USG budget workshops with Treasurer

  12. Has the option as a chapter delegate to attend the Premedical Caucus at AMSA's National Annual Convention each year (or select a surrogate if he/she chooses not to attend)

VICE PRESIDENT
 
  1. Assumes all the duties of the President in the event that the President is not able to perform his or her duties

  2. Serves as primary liaison to the Student Activities programming advisor.

    1. This includes:

      • Annual Block Booking

      • Annual Pre-Scheduling

      • Ensuring booking of proper Audio Visual equipment as necessary

      • Meeting with club supervisor for all major events

      • Filling out forms required for particular events/conditions

      • Helps the coordination of Pre-Med Society major programming

      • Actively seeks opportunities to work with other campus organizations and groups for collaborative programming, in collaboration with the President

      • Oversees the amendment and revision of the Constitution, in collaboration with the President and Secretary

  3. Part of planning committee of the Annual Medical School Fair with the President and in partnership with the Career Center and the Academic and Pre-Professional Advising Center

TREASURER
 
  1. Oversees all financial transactions for Pre-Med Society

    • This includes following proper USG etiquette for placing vouchers

  2. Prepares a weekly statement of the balance for presentation at SBPS executive board meetings

  3. Develops and oversees the SBPS budget in conjunction with the President

  4. Submits a revised budget in the Fall and Spring based upon the actual amount allotted for the organization

  5. Maintains a record of all allocations and allocation requests in an Excel Spreadsheet

  6. Attends all mandatory USG budget workshops with President

  7. Reviews existing procedures and documents for USG funded clubs

  8. Serves actively on SBPS Executive Board

SECRETARY
 
  1. Maintains all SBPS correspondence and records

  2. Produces updated attendance sheets for all general body meetings

  3. Keeps record of all attendance and outreach points for SBPS members

  4. Maintains a current list of active members

  5. Notifies members of all regular and special meetings

  6. Takes accurate minutes of all Executive Board Meetings and General Body Meetings

  7. Makes copies of the meeting minutes available to the Executive Board within three (3) days of the meeting

  8. Maintains the SBPS records binder in accordance to prior historical record and USG preferences

  9. Serves as primary contact in relation to the history of SBPSall SBPS correspondence and record

PUBLIC RELATIONS COORDINATOR
 
  1. Coordinates and implements SBPS marketing, publicity, and recruitment on campus

  2. Advertises general body meetings, major programs, and special committees’ events via proper USG protocol

  3. Coordinates on campus marketing program and SBPS brochures to distribute at events

  4. Serves actively on SBPS Executive Board

  5. Actively takes pictures at events and uploads them to multimedia interfaces and adds them to binder when appropriate 

WEBMASTER
 
  1. Has responsibility of keeping the e-mail account up to date and sending out emails in order to keep members up to date with information from other officers and committees

  2. Actively maintains all electronic media (ie: Blackboard page, Website, Facebook page, etc.):

    • Posts announcements of all upcoming events, including Outreach on all interfaces

    • Creates events on Facebook in relation to all major events

    • Uploads all pictures and minutes in collaboration with the Public Relations Officer

    • Uploads documents or information on to Blackboard and website such as Events List, Minutes, and Membership requirements

    • Helps e-mail members in collaboration with Secretary

    • Works with Public Relations Officers to effectively advertise SBPS through multimedia

    • HTML proficiency recommended

  3. Serves actively on SBPS Executive Board

COMMUNITY OUTREACH COMMITTEE
 
  1. Assists Outreach Director in planning and coordination of all community service events planned for each semester

  2. Helps connect SBPS to all community service and nonprofit organizations that SBPS partners with

  3. Helps actively seek opportunities to work with other campus organizations and groups for collaborative outreach programming

  4. Helps provide supervision at on campus and off campus outreach events

  5. Ensures that meeting minutes of Island Harvest and Oxfam Committee Meetings are sent to SBPS executive board

  6. With committee, collaborates with Island Harvest to create events (at least one per semester) that convey the message of the Island Harvest Organization and Oxfam of America to create events (at least one per semester) that convey the message of the Oxfam of America Organization

  7. Works with Committee Director to ensure that that all committees activities are in accordance to SBPS and USG protocol

COMMUNITY OUTREACH DIRECTOR
 
  1. Oversees all community service events planned for each semester

  2. Acts as a liaison to all community service and nonprofit organizations that SBPS partners with

  3. Actively seeks opportunities to work with other campus organizations and groups for collaborative outreach programming

  4. Maintains relationship with Volunteer Opportunities representative and AmeriCorps Vista representative in the Career Center

  5. Chairs the Community Outreach Committee:

    • Helps appoint Community Outreach Committee in collaboration with President

    • Responds to any outreach related emails from general body members

    • Provides webmaster with appropriate information to post and to advertise regarding upcoming outreach events

  6. Coordinates the activities of the Island Harvest and Oxfam committees

  7. Ensures proper communication between SBPS Executive Board and the Outreach Committee

  8. Is sure that all events organized by the committees follow SBPS and USG protocol. This is done by:

    • Alerting the President and Vice President of all rooms that need to be booked or equipment required

    • Alerting the President and Treasurer of any funds that need to be allocated for events

    • In order to actively follow through with all responsibilities, needs to attend all committee meetings and occasionally attend SBPS executive board meetings

  9. Serves actively on the SBPS Executive Board
